Cancellation & Refund Policy

We understand that plans can change. Our cancellation policy is designed to be fair to all travellers while covering costs we incur with suppliers. All cancellations must be communicated in writing via WhatsApp or email.

1. Cancellation Charges

The following charges apply based on the number of days before your trip departure date:

• 30 or more days before departure: Full refund minus ₹1,500 administrative fee per person
• 15 to 29 days before departure: 25% of total package cost is retained; 75% refunded
• 8 to 14 days before departure: 50% of total package cost is retained; 50% refunded
• 4 to 7 days before departure: 75% of total package cost is retained; 25% refunded
• 0 to 3 days before departure or no-show: 100% cancellation — no refund applicable

2. Refund Processing

Approved refunds are processed within 7–10 working days to the original payment method used at the time of booking. We are not responsible for delays caused by your bank or payment processor. Refunds are issued in Indian Rupees (INR) regardless of the currency used for payment.

3. Non-Refundable Items

The following components are strictly non-refundable regardless of when you cancel:

• Flight or train tickets booked on your behalf (subject to airline/railway cancellation policy)
• Visa application fees once submitted
• Advance payments made to hotels during peak seasons or festival periods
• Non-refundable activity or experience bookings with third-party operators
• Travel insurance premiums

4. Cancellation Due to Force Majeure

In the event of natural disasters, government travel advisories, civil unrest, pandemics, or other circumstances beyond our control, Timeless Trips reserves the right to cancel or reschedule a trip. In such cases, customers will receive:

• A full refund of the amount paid to Timeless Trips (excluding non-refundable third-party costs), OR
• A credit note valid for 12 months towards any future trip of equal or greater value

5. Trip Modifications

If you wish to change travel dates, destination, or package, please contact us as early as possible. Modifications are subject to availability and a modification fee of ₹1,000 per person may apply. Any increase in package price due to date changes or upgrades will be charged; any decrease will be refunded as a credit note.

Please quote your booking reference number and the name under which the booking was made. The cancellation date is the date we receive written confirmation from you.
